Miami Condominium is seeking a highly organized and bilingual Condominium Secretary to join our team. As the Condominium Secretary, you will play a crucial role in maintaining efficient communication within the organization and ensuring smooth administrative operations. This is a part-time position, with work scheduled on Mondays, Wednesdays, and Fridays from 9:30 AM to 5:00 PM. The position offers a competitive salary of $16 per hour.
- Answering phone calls and providing professional and courteous assistance to residents, board members, and other stakeholders.
- Responding to emails promptly and effectively, addressing inquiries, and forwarding messages to the appropriate parties.
- Reviewing and addressing voicemails in a timely manner, ensuring that all messages are properly relayed and actions are taken as required.
- Uploading necessary documents, such as meeting minutes, memos, and community updates, to the association website and ensuring they are accessible to relevant parties.
- Assisting with regular office tasks, such as filing documents, organizing records, and managing calendars, to maintain an efficient workflow.
- Collaborating with other team members to support various administrative and operational tasks as they arise.
- Bilingual proficiency in both English and Spanish, enabling effective communication with a diverse range of residents.
- Proficiency in using QuickBooks or similar accounting software to manage financial records, process invoices, and track expenses.
- Excellent communication skills, both written and verbal, with strong attention to detail and accuracy in relaying information.
- Strong organizational skills and the ability to prioritize tasks effectively to meet deadlines.
- Professional and friendly demeanor, with the ability to provide exceptional customer service to residents and Owners.
- Previous experience in a similar administrative or secretarial role is preferred but not required.
- The ideal candidate should be proactive, have a strong sense of initiative, and be a self-starter.
